In the world of accounting, data is everything. But what happens when critical Tally data becomes inaccessible on the very first day of a new job? This is a real-life case study of how a serious Tally password issue and data corruption almost cost a Senior Accountant his job—and how the situation was successfully handled with the right approach.
Back to 2019, one day I was sitting at my office table
in the evening after a training session when I received a call from an unknown
number. At that time, it was quite common for me to receive multiple unknown
calls since my contact details were shared in various training sessions.
The call was from Mr. Ajay, a Senior Accountant who
had just joined a large firm. I could hear the panic in his voice—the kind of
genuine fear you only feel when you think your career is about to go up in
smoke. He told me it was his very first day. He had been hired to lead a team
of two, replacing a previous accountant named Mohit who had left for medical
reasons. Ajay was eager to prove himself, but he hit a wall immediately: the
Tally data was locked with an Admin password that only Mohit knew, and Mohit
was completely unreachable.
Ajay had tried to be a hero. He told me how he spent
hours researching and even used Google and other online content to try and "crack" the
password himself. But without the right technical foundation, the process went
south. Instead of unlocking the data, he had accidentally corrupted the entire
file. Even the junior accountants were now locked out of their sub-users. He
was shivering as he spoke, explaining that the Tally helpdesk couldn’t help
with a damaged file and a local partner had asked for a massive amount of money
to fix it. He felt his first day was going to be his last.
I first told him to take a deep breath. "Ajay,
calm down," I said. "Before you started this 'mission' to crack it,
did you take a backup?"
When he said "Yes," I knew we had a fighting
chance.
I took online access to his system. I had two choices:
I could try to rewrite the damaged file first, but since it was Ajay’s first
day, he wouldn't be able to confirm if the recovered data was 100% accurate.
So, I went with the safer route: we abandoned the corrupted file and used his
manual backup to perform a clean password bypass.
Here is how I handled it:
First, I checked his financial year—it ran from April
2016—and made sure every Tally instance on the network was shut down. Using a
junior login that was still active in the backup, I noted down all his F11
features—GST settings, TDS, the works.
Then, I created a brand-new "Dummy" company
in Tally. I gave it the same name but added a small suffix so I could tell them
apart. I set the same financial year and enabled every single feature I had
noted down. To align the data headers, I passed a tiny dummy entry of 1 Rupee
for the 31st of March for every year up to 2020.
Once that was ready, I went into the folder of the new
company and copied the Company.900 (As it was Tally.ERP9, Now if TallyPrime it
is known as Company.1800) file. I then moved over to the original data
folder and pasted it there, replacing the locked header file with my new,
password-free one.
The final "magic" happened when I pressed Ctrl+Alt+R
to rewrite the data. As Tally went through the repair phases, Ajay was silent
on the other end of the phone, probably holding his breath. When the process
finished, I clicked the company name and—boom—the data opened wide. No
password, no "Access Denied." All the vouchers were there, intact and
safe.
I spent a few more minutes cleaning things
up—restoring the correct company name, re-configuring the F11 features, and
most importantly, setting up a fresh Admin login for Ajay and his team.
The relief in his voice was worth more than any
consultation fee. He went from thinking he was fired to being ready for work
the next morning. Before hanging up, I gave him a bit of "Parvez
advice" for the future. I explained that if he had used a Tally Vault
password, even I couldn't have saved him—Vault passwords are unbreakable
because they encrypt the data itself. I told him to always write his passwords
down in a secure place and never, ever skip a backup.
Ajay thanked me again and again. He started the day in a nightmare and ended it with a masterclass in data recovery. For me, it was just another evening helping a fellow professional, but for him, it was the day his career stayed on track.
